To ensure the long-term functionality and compliance of laboratory equipment, proper renewal and maintenance planning is essential.

Negotiating Extended Warranties and Service Plans

Academics purchasing equipment that is not considered core by the Equipment Committee should plan ahead, as the servicing costs of their equipment will not be covered by the faculty. It is strongly advised that researchers take out extended warranties and service plans when planning a purchase to ensure long-term support and reduce unexpected maintenance costs.

If you believe your equipment is Core you can request servicing support from the Equipment Committee. Contact the committee to request their Faculty Equipment Maintenance Support application form.

Dealing with Repairs: How to Report Faulty Equipment

If equipment becomes faulty, follow these steps:

1. Inform your supervisor

Inform your supervisor or line manager before taking further action.

2. Determine if the equipment is classified as Core

Determine if the equipment is classified as Core by the Equipment Committee.

If Core Equipment requires repair, contact the Equipment Committee for guidance on repair options and potential funding support.
If the equipment is not Core, proceed with the next steps.

3. Contact the Compliance Team

Contact the Compliance Team to assess whether the issue can be resolved internally.

The Compliance Team is not responsible for repairing individual research group equipment.
They can assess faulty equipment to determine whether an internal repair is possible.
If an internal repair is feasible, they will discuss available options with the researcher and/or their line manager.

4. Specialist Repairs for Non-Core Equipment

If the Compliance Team cannot repair the equipment internally, the responsibility for arranging and funding the repair falls to the line manager or supervisor who owns the equipment.
