Swansea University as Data Controller
Swansea University is the Data Controller and is committed to protecting individual rights in accordance with the Data Protection Act 2018 and the UK General Data Protection Regulation (UK GDPR). Purpose of Data Collection
We collect and use your personal data to provide tailored careers support and employability services. This includes:
- Offering information, advice, and guidance to help improve your employability and career prospects.
- Enabling you to access careers appointments, events, workshops, and resources designed for graduates.
- Communicating with you about relevant career opportunities, events, and services that may benefit you.
- Monitoring and evaluating the effectiveness of our careers support, including producing anonymised statistical reports to improve our services.
- Fulfilling our legal and regulatory obligations, such as participation in the Graduate Outcomes survey and reporting to relevant authorities.
- Obtaining feedback to develop and enhance the careers support we offer.
- We may need to collect and process special category data (such as disability information) to enable us to tailor the relevant support available. We will only do this with your explicit consent, which we will request as part of your registration on the program. - Student Number
- Full Name
- Address (just postcode)
- Personal/Student Email Address
- Phone Number
- Course Title
- Graduation Year
- Employment Status
- Information to aid Career Guidance e.g. whether you feel equipped to plan your career
- How you heard about the Graduate Support Programme
- Faculty / Department
- Whether you were a Home or International Student
- Whether you can speak Welsh
- Whether you consider yourself to have a disability
- Sector area preferences
- Interest in Employability activities
- Outcomes after leaving the University e.g. acquiring further study or graduate level work
Uses of Collected Information
The information provided will be used for the following purposes:
- Research and Analysis: Conducting statistical studies to inform strategies.
- Operational Information: Providing updates related to employability initiatives.
- Promotional Activities: Promoting University services and employability programs.
- Strategic Planning: Informing employability strategies, tracking engagement trends, and tailoring outreach efforts.
- Enhancing Graduate Outcomes: Collaborating with employers to create work-based learning opportunities and align student skills with industry needs.
- Administrative Purposes: Maintaining accurate records for operational efficiency and compliance audits.
Legal Basis for Processing
The University relies on:
- Legitimate Interests: To liaise with Alumni to offer support with employability and careers development.
Data Sharing
Information may be shared with internal University teams whose work aligns with fostering Graduate career opportunities, such as organizing employability events or managing placements. It will be shared with other internal teams to enhance collaboration. Access is restricted to authorized staff members and used solely for purposes consistent with the University's mission.
Data Retention Policy
Personal data will be retained for up to 2 yrs after sign up to the Graduate Support Program, unless interaction is continuing with an individual. At this point data will be securely stored and anonymised.
